Travel

Hotels:  Each team is responsible for booking their own rooms for travel weekends.  It is your responsibility to:

  • Make your coaches hotel reservation
  • Pay coach their per diem and travel expenses prior to departure. 

SSC Shadow prefers that all members of a team stay in the same hotel when traveling together, but also realizes that families need the flexibility to stay with family or friends.   

As we continue our quest to lower expenses, stretch dollars and help make our club work be as coordinated as possible, we have partnered with Marriott hotels, which includes:
 
1.  One direct Marriott hotel sales contact.  For all of their properties (Springhill Suites, Courtyards, etc.), we work exclusively with Sarah Carlos, Area Account Executive/Global Account Manager.  Sarah will help you get the best rates and room blocks for all away games and tournaments.  As well, she is eager to work with each of our opponents traveling to Spokane.  Her contact information: sarah.carlos@marriott.com or 425-214-2270.
 
Prior to contacting Sarah, have this information ready:

  • Date of check-in and check-out
  • Number of Rooms Needed (one and two-bedded rooms)
  • Location Needed
  • Any Special Requests
  • Budget (past rates)

She will respond to you within 48 hours with a list of available hotels and rates within the area.  Once a hotel  is chosen, the Team Manager or Travel Coordinator will work with the hotel staff to finalize the contract. 

  • ***Be sure that all contracts include a release date, do not require advance deposits and do not ask for a guarantee of sold rooms within the block. 
  • Add this suggested language to any hotel contract you organize on behalf of your team:  “Irrespective of the foregoing standard terms set forth above, Marriott waives all cancellation fees and minimum room requirements for this contract.  Furthermore, it is understood that the undersigned is not personally responsible for any of the charges set forth under this agreement.” 

Once the contract is signed, the team may begin calling to book reservations.
 
2.  In an effort to extend our best "home game hospitality," please forward Sarah’s contact information to any of your opposing team managers looking to book Spokane hotels rooms.  Working through Sarah will allow a more coordinated effort and will give us the ability to track the number of rooms realized.
 
3.  Many SSC Shadow families and the Shadow Club are members of the Marriott Rewards program.  All realized SSC Shadow rooms will be credited within this program and those discounts will be forwarded to participating families and participating teams.

Traveling By Car:  When the team is traveling by car, encourage families to communicate with each other to arrange carpooling.  It is not your responsibility to arrange carpools.  Parents are responsible for arranging travel for their player, as well as whom they travel with.  But, it has proven helpful if an email goes out a week before the travel date to confirm that each player is situated for the weekend (ride, hotel, etc.).  If a player has not yet been able to set up transportation, please remind their parents to call through the team contact sheet for help.  If you know of an opening with a specific family, please share that information with them at that time.  On occasion, you may be asked to help out further on a players behalf.  Please do so at your own discretion.

Driving Directions:  When traveling, please be sure to provide addresses for fields and hotels, including zip codes.  Many families have GPS navigation or print Mapquest maps. 

Travel Expectations:  Your coach will provide acceptable behavioral expectations of the players when on the road with the club and/or team.  These expectations should include acceptable behavior for hotel conduct, noise, curfew, swimming, including all teammates in group activities, etc.  Please make sure you are familiar with these guidelines and suggest to your team coach that they be in writing. 

Inclement Weather:  Safety comes first for our players, parents and coaches when it comes to cold weather play and travel.  If parents believe it is unsafe to travel to practice due to road/weather conditions in your area, SSC Shadow asks that they stay home.  If team practice is scheduled within the City of Spokane and Spokane School District #81 is closed, then our team practices are cancelled.  If team practice is scheduled within the City of Spokane Valley and the Central Valley School District is closed, then our team practices are cancelled. 

SSC Shadow Team Managers will be given information to distribute regarding practice cancellations.  But due to vacations, internet provider outages, computer glitches and other factors parents should also check the club website if they have any questions.

Washington Youth Soccer adopted a Travel Policy on February 1, 2011, which offers information about road closures, chains required, reimbursement policy, an unplayable fields.

Meals:  It is recommended that you plan one group lunch or dinner every night your team is away.  Families can gather at a pre-arranged time and order off of the menu to suit their needs.  All team dinners should be paid for by each individual.  We do not recommend collect money in advance to pay the group bill!  Team meals are helpful for team bonding and they do make planning easier for families - plus, it’s a great way to get to know each other off of the soccer field. 

At some tournaments it is challenging to find the time to get to a restaurant between games.  Your team may want to consider packing a team cooler of snacks and lunch items:  Extra water, sports drinks, cheese sticks, whole grain crackers and hummus, yogurt, hard boiled eggs, muffins, sandwich fixings, fruit, etc.
