Tournaments

Tournament attendance is always subject to change due to unforeseen circumstances.  Sometimes tournaments are cancelled, sometimes our teams apply and are not accepted, sometimes dates change.  Please remember, the Club is always trying to balance cost, competition, time on task and opportunities.  There is not a perfect schedule to appease everyone’s desires, but the tournaments are selectedbased on coach recommendations for what is deemed appropriate for each particular team.

Our teams attend US Youth Soccer sanctioned tournaments because of liability insurance coverage.  Membership in WA Youth Soccer/US Youth Soccer and the resume of the club is how Shadow has become the only greater Spokane area member in the Regional Club League - and this level of youth soccer is what sets us apart from all other clubs in the area.  Here is a link to the WA Youth Soccer website that shows what is currently sanctioned:  http://www.wsysa.com/Tournaments/SanctionedTournaments/tabid/143/language/en-US/Default.aspx

SSC Shadow requires all players to pay their fair share of tournament registration fees and coaches travel expenses for those tournaments selected at the first team meeting.  If a team chooses to add a tournament to their schedule and a player has prior conflicts and cannot attend, they have one week to notify the coach and team manager and are not required to pay their share of tournament registration fees and coaches travel expenses.

For each tournament most of all information can be found on the tournament website.  Please make sure you know the field locations for the tournament and communicate all information to the team.

Tournament Checklist for Team Managers

  • Registration & Entry Fee Payment:  It is each team’s responsibility to register for each tournament in which they participate.  This includes filling out and filing the tournament application and submitting the payment.  Talk with your coach about what division your team should register; some tournaments offer a gold and silver/A & B divisions within the age groups.  Be sure to register your team under its official name, listed on the website team page (Ex: SSC Shadow G98-A, SSC Shadow Elite Select G99-Oliver, etc.).

    Some tournaments require that the registration fee be paid by credit card.  We suggest that you collect the registration fee in advance and then a willing party submit the payment on their credit card with immediate reimbursement from the team.  Please make sure this process is followed accordingly and well before each application deadline.
  • Travel Plans & Hotel Reservations:  Be sure to book room blocks as early as possible.  Review the tournament rules first.  Some tournaments are “stay and play” tournaments where teams are required to work with specific travel agents and hotels to book rooms.
  • Transportation:  If the team decides to travel by bus or rent cars/vans together, please coordinate this effort as far in advance as possible.
  • Tournament Rules:  Forward the rules to the team coach and parents.  Print a copy for your Team Book and for your team coach.
  • Travel Expectations:  Coaches will communicate to players and parents about their expectations for playing time, sideline behavior and coaching, parent and player behavior on and off the field.  This is NOT your role as a Team Manager!  You are the communication channel, NOT the enforcer.  Remind your coach to address expectations with the players and parents in advance.
  • Player Cards:  Player cards are most often required for check-in before every game, and at some events must be left at a field marshal’s table or with the game referee for the duration of the game.  Please make sure to get the player cards to your coach 30 minutes prior to each game, and make sure the cards are picked up after the conclusion of the game.
  • Official Team Roster:  Be sure your Team Book includes the USYS official team roster.  Make extra copies in case you are asked to provide one to the tournament.  You may need to provide an SSC Shadow team roster for early summer tournaments, before one can be generated by Washington Youth Soccer.  Use this template.
  • Guest Players:  If guest players are added to the roster to replace missing players for a tournament, the guest players are required to pay their fair share of team expenses.
  • Game Schedule:  As soon as possible, communicate out game schedule information to the team.  This information is found on the tournament website.  Continue to monitor the website for any changes or updates to the schedule as the tournament draws closer.
  • Maps/Directions:  Please forward a link to the tournament website to your coach and parents.  Include the address and zip code of the tournament location.
  • Tournament Check-In:  Tournaments require all teams to check-in either the day before or the day of the event.  The specifications of each check-in are posted on the tournament website or with the documentation sent via mail to the team.  Be prepared to present any of the items requested, which most often includes a signed roster, player cards and medical releases for all players.  As you check-in, the tournament will likely hand you several items – including an updated schedule.  Please make sure you hand off any items received at check-in to your coach.  Some coaches prefer to check the team in on their own, so please communicate with your coach to organize the process.
